This article describes how moderation (aka workflow) works and how to set it up in Open-DocumentLibrary

 

 

Moderation, allows designated users/roles to review the changes that are made to published content and/or to accept or reject new content.

Moderation is turned on a folder by folder basis.

In order to turn it on, right click on the folder, select the "edit folder settings" option, and in the details pane that loads, select the security tab.

The security tab will display a grid of roles and permissions (users and permissions as well) as in figure 1.

For the Role and/or User that you want to designate as a moderator, check the "Enable Moderate" checkbox. This will make the folder automatically moderated.  A moderated folder will not display any new information, unless a review process has been completed. 

Imortant: all the users in the role that has been designated as moderator role, will receive notification every time a document is edited or uploaded.  Any of the moderators can start and complete the moderation process.  So, if you just want one specific user to be the moderator, just assign moderation rights to a single user, and not to an entire role.

In order to administer the moderated files, a moderator will go in the tools menu at the top of the navigation tree, and select the moderation menu items.   The moderator will be presented with a list of items in process of moderation (see fig.2 -bottom).  Clicking on the details icon, will display the   details of the document metadata in edit mode (see fig 2 - top)

There the moderator can edit, accept, reject or send for revision the file or metadata changes.

In the above picture (fig 2) you will see that there are 5 action links that determine teh actions that can be taken on a document.  These links will be enabled, according to teh document state.

Upon submission by a user, the state of the document will be "Submitted".  A submitted document can be updated (if  the moderatos simply wants to edit some metadata), or it can be send for revision to the original user, or it can be accepted (and immediately published) or rejected (and be permanently removed from the list of documents to be moderated).

A document that has been sent for revision, will change its status to "Revise", and no moderation will take place on it, until the original user makes appropriate changes.

A document that has been rejected, will be uneditable, and its status set to "Rejected".

The owner of the document will be notified by mail of any of the actions taken by the moderator that change teh status of the document.  This means that all actions, except clicking on Update, will cause an email.

Once a user makes the revisions required, teh cycle can start again, and all moderators will receive an alert again.

Note: while a document that had previously been published is undergoing a moderation process, the published document will be available for download and, but it will not be editable through the normal edit interface, only through the moderation interface and only by moderators.
